You could ask players who want this to PM you. Then you could post the list of players who PMed on a sticky in notification-form and get hosts to copy-paste that list when those hosts have their own sign-ups.

That way, if someone PMs you to have their name added/taken off, then you can just edit the sticky, and you can get all hosts to notify the players.

Just get the purple who's always preoccupied making you tea to do it.
